Our Services
Refine provides a full range of professional management services to our clients.
Management & Reporting
• Maintenance of accurate, accessible files, records, and financial books
• Enforcement of the by-laws, rules, and regulations, and the policies and procedures of your property
• Preparation for and attendance at regular, annual, and special Board meetings, including the provision of Monthly Management Reports and meeting minutes
• Knowledgeable and effective interaction with outside professionals, including legal counsel, accountants, engineers, architects, and others
• Courteous, timely, and effective response to owner/resident inquiries and dissemination of information to owners/residents and others according to Board instruction
• Establishment of and adherence to competitive bidding procedures; assistance with contract negotiations and purchasing; and contract administration
• Provision of capital project planning and management assistance
• Bulk Purchasing Program guaranteeing significant savings for such items as janitorial supplies and fuel over an individual purchasing program
• Establishment and maintenance of an accurate inventory tracking system

Operations
• Ongoing property maintenance, including the maintenance of structural integrity and all building-wide systems (including but not limited to facades, boilers and burners, energy, elevators, security, roof, windows, laundry facilities, commercial units, and parking lots, pools, and recreational facilities, etc., as appropriate)
• Site Inspection Report – an in-depth property walk-through that covers all structural, mechanical, and aesthetic aspects of your property
• Preventive Maintenance Programs and Procedures to ensure the maintenance and smooth operation of the property; and recommendation, planning, bid solicitation, and supervision of major repairs and capital improvement projects

Compliance
• Receipt, interpretation, and response to violations, and to federal, state, and local laws and regulations governing client properties; and assurance that your property is in compliance with all municipal code requirements, and that all necessary licenses, permits, and approvals are obtained and current
• Initiation and filing of all necessary local law inspections; filing for all requisite permits; and filing of all necessary forms and reports and all similar items
• Preparation and distribution of fire safety, life safety, and evacuation plans, as required (certain fees may apply)
• Our first-in-the-industry ‘Green’ Client Program, which empowers client properties to explore and participate in various initiatives dedicated to energy conservation, cost efficiency, and sustainability

Financial Management
• Financial oversight, banks records maintenance, and other records maintenance, including but not limited to the billing and collection of common charges/maintenance and appropriate late payment and collection action; payment of vendor/contractor and utility bills; calculation and distribution of salaries to property personnel; payment of all property taxes and other obligations; with all accounts separate and accounted for in accordance with Generally Accepted Accounting Principles
• Monthly and other Financial Statements, including summary of cash accounts; itemized statement of current year to date receipts and disbursements, including a comparison with the annual and pro-rated monthly budget; itemized statements of disbursements; list of unpaid bills; statement of journal entries; general ledger, accurate arrears report; copies of all bank statements, investment reports, and reconciliations; and your choice of cash-based and/or accrual-based reporting
• Annual and long-term Operations and Capital Budgets
• Coordination with your property’s corporate counsel on the preparation of tax certiorari and related applications, as appropriate
Staff Management
• Supervision, hiring, and firing of staff; preparation of all forms, reports, and returns required by all federal, state, and/or local laws in connection with Unemployment. Insurance, Workers’ Compensation Insurance, Disability Benefits, Social Security, and other similar taxes relating to the employment of personnel
• Representation of your property in all Union and personnel-related matters
• Creation and management of staff job descriptions, work schedules, and performance reviews
• Staff training with the Director of Hospitality to cultivate and encourage the highest levels of customer service, building knowledge, professionalism, and loyalty among your staff members
